Printer status is set to offline

If your printer's status is set to offline, it will not be able to communicate with the computer; consequently, the documents will stay queued without ever getting printed. Frequently checking the printer status is essential, so ensure it's not set offline. To do this, go to Settings, select your printer, then go to Open queue>Printer Offline. If the printer is offline, the status can be switched to online following the prompts. Once the status is changed to online, check again to see if your documents are now printing.

Technical glitches often occur due to due to some system issues, like printer droutdated out of date or incompatible with the computer's operating system. Other system-related issues could involve hardware faults, incorrect settings, and poor internet connectivity. The solutions to these problems could range from updating and reinstalling the printer drivers, restarting the computer and printer, and checking the printer's connectivity to the computer or the network.

Reboot the Computer

Starting with a fresh state for both your printer and computer can often remedy many problems, including documents stuck in the printer queue. In certain instances, system issues could cause a glitch preventing documents from printing successfully. Rebooting the computer is a straightforward troubleshooting step to address such a matter. This step is perfect for resolving minor issues as it gives your computer a fresh start, clears its temporary memory, and helps reset any routines that may be interfering with the normal operation of your printer.

Power Cycle the Printer

If restarting the computer has not resolved the issue, it is advisable to power cycle the printer as the second step of your troubleshooting process. Power cycling involves:

  • Turning off the printer.

Checking and Ensuring Sufficient Paper and Ink

Surprisingly, one of the simplest causes of a printer problem is also one of the easiest to resolve. If there isn't adequate paper in the printer, there's naturally nothing to print on, and the documents will be stuck in the printer queue. Checking the paper tray and ensuring it has enough paper to facilitate all the tasks in the queue is a quick, pre-emptive measure to avoid printing disruptions. Simply open your printer's paper tray and check if there's paper in it. If it appears low, do not hesitate to refill it. Ensure that the paper is not torn or crumpled, as this could result in a paper jam, thereby preventing the documents from printing.

Ensure There is Enough Ink

Just like a lack of paper, insufficient ink can prevent your documents from printing and lead to them remaining within the queue. The ink level in the cartridges should be checked routinely to avoid running into issues during printing. If the ink level is low, your printer might be unable to perform the print job. Most printers have indicators or software that provide a warning when the ink levels are running low. Remember these warnings and refill your ink cartridges promptly when nearing depletion. Please note, however, that clearing the queue will delete all the pending tasks, and they'll have to be scheduled again.

Most operating systems come with an inbuilt printer troubleshooter, which can diagnose and fix common printer-related problems. Running the printer troubleshooter can be effective if your documents remain in the queue. It thoroughly checks your printer's hardware and software components to pinpoint anomalies, providing suitable remedies for the detected issues.

Removing and Re-adding the Printer

Another effective solution to printer problems is removing the printer from your computer's list of recognized devices and then re-adding it. This method can resolve problems related to the printer's connectivity with the computer, software issues, and hardware faults. As a caution, it’s good to note that re-adding the printer might require the printer's installation software or drivers.
